Program Assistant

POSITION DESCRIPTION

 

Established in 2007 as a 501(c)3 non-profit, Kupu empowers future generations to create a more sustainable, pono Hawai‘i.  Kupu accomplishes this by partnering with conservation and sustainability focused agencies throughout the state and pacific in providing hands-on service opportunities which educate and mentor young adults and emerging professionals to become stewards of our communities and environment.  Since 2007, Kupu has risen to meet the increasing demands of the green job sector by engaging over 3,000 youth in the areas of conservation, sustainability and environmental education.  Kupu affirms the Hawaiian notion of “ma ka hana ka ʻike” or “in working one learns.”  This approach has led to the creation of hundreds of service-learning opportunities which assists in the development of Hawai’i’s emerging professionals in the green job sector while supporting over 150 conservation and sustainability organizations across Hawaiʻi and the Pacific region.

Position Duties

This position is a full-time position that includes, but is not limited to, the following duties:

  • Transportation and Logistics
    • Organize and manage program logistics, including but not limited to facility reservations, travel logistics, and lodging
    • Book flights, hotel, and car reservations as well as any changes and cancellations
    • Ensure that logistics are prepared and presented/communicated in a clear, organized form
    • Assist with team scheduling and planning, including events and meeting confirmation with partners
  • Data and Administrative Tasks
    • Assist with and attend orientation and other program events
    • Assist in putting together orientation/training, interview, and other materials for members, partners, and/or staff
    • Assist in collecting, processing, and filing program paperwork (including receipts, and onboarding through to the end of  term)
    • Assist in procurement and purchasing
    • Prepare materials for and assist at orientations, trainings, meetings, and other events
    • Answer phone calls and emails and respond to inquiries
    • Run errands as needed
    • Assist with inventory and gear management
    • Assist with data entry and organization
    • Assist staff with various projects and assignments
  • Other duties as assigned

 

Position Reports To: Administrative Manager

 

Position Requirements

In order to be considered for hire, one must meet the following minimum requirements:

  • Available full-time Monday through Friday, as well as for possible weekends and evenings
  • Willing and available to travel for program events, as needed
  • Meet Kupu’s criminal history check requirements
  • Possess at minimum a high school diploma
  • High computer/Microsoft Office skill level
  • Experience in organizing and executing events
  • Extremely detail-oriented with high follow up skills
  • Strong team player with a collaborative mindset and approach
  • Effective communicator with a positive attitude and interpersonal relationship skills
  • A life learner with excellent problem solving skills
  • Possess a valid driver’s license and meet Kupu’s driving abstract requirements

Qualifications

It is preferred that the applicant has the following:

  • At least 2-3 years of office work experience
  • Associates degree or higher
