HCAF PROGRAM ASSISTANT (20hrs/week) HONOLULU, HAWAII

Founded in 2006, The Hawai‘i Conservation Alliance Foundation (HCAF) is a 501(c)(3) non-profit organization with the purpose and mission to support and advance the capacity building, native ecosystem and biocultural conservation work of the Hawaiʻi Conservation Alliance (HCA) through fundraising, advocacy, and strategic outreach and communications.

The HCA is a cooperative collaboration of conservation leaders representing twenty-five government, education, and non-profit organizations that aim to provide unified leadership and advocacy for Hawaii's most critical conservation issues. Collectively, HCA is responsible for managing the biodiversity of Hawaii’s lands and waters. In effort to build an inclusive and cohesive network of researchers, conservation practitioners across the Hawaiian Archipelago, the Program Assistant will support the administration and operations of HCAF activities

Our ideal candidate is an organized and detail-oriented person who is comfortable managing simultaneous tasks under tight deadlines. We are seeking a self-motivated individual with an aptitude for learning new skills, and ability to independently function with ambiguity. Duties and Responsibilities:

  • Provides professional administrative, operations and fiscal support to programmatic and related administrative functions of the Hawaii Conservation Alliance Foundation, including the annual Hawaiʻi Conservation Conference

  • Supports logistics of HCAF meetings and events, including scheduling, recording minutes, reserving venues, ordering catering, securing supplies, preparing handouts and following up with attendees

  • With the direction of the HCAF Executive Director, supports the Board of Directors as needed

  • Conducts routine bookkeeping, recording deposits, and reconciliation of financial accounts

  • Assists with routine editing, maintenance of HCAF Webpage, regular correspondence and various contact databases

  • Responsible for office resource and facilities management, such as files, office space, utilities, storage

  • On rare occasion and with advance notice, duties may include working outside normally scheduled hours, usually occurs on-site at events

  • Other duties as assigned

Minimum Qualifications:

  • Possession of a bachelors degree in business administration, public administration, or related field and 4 years of progressively responsible professional experience with responsibilities including administrative or program support or nonprofit administration; or equivalent education/training or experience including 3 years of professional experience and/or successful track record in providing administrative support to non profit organizations, operational support in fundraising, or grants management; and 3 years of experience in supporting the administration of programs and/or operations.

  • Functional knowledge and understanding of systems associated with fiscal and administrative management of non profit organizations, including experience with supporting budget development, managing a budget, and/or nonprofit accounting processes

  • Ability to independently solve problems that may commonly occur in the fiscal and administrative management of non profit organizations

  • Excellent communication skills, both written and oral; including preparation of reports and ability to respond to requests from the Board or HCA Staff;

  • Interest in environmental/conservation issues specific to Hawaiʻi, preference given to familiarity and experience working in island communities

  • Ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals

  • Demonstrated computer skills and experience in word processing, Microsoft Office, database, accounting software and other web based platform.

    Desirable Qualifications

  • Advanced computer proficiency, word processing, excel or bookkeeping or data entry experience. Tech savvy preferred.

  • Experience with scheduling and maintaining staff calendars, collaborative document editing and other web based organizational management software solutions.

  • Experience with Mac computer systems and Adobe Professional or other design software.

  • HR experience

    Physical Requirements: Able to lift and carry at least twenty to thirty (20-30) pounds.

    Reporting Relationship/Evaluation of Performance:

    Reports to the HCAF Executive Director (ED), which is responsible for the Program Assistant’s performance evaluation and professional development plan. The ED will annually gather input from the HCAF Board and HCA Staff and other key stakeholders as part of their assessment process.

    Status/Classification: Regular, Part-Time, Exempt. Continuation of employment is dependent upon program/operational needs, satisfactory work performance, availability of funds, and compliance with applicable Federal/State laws. There is an interest and possibility of moving this position to full time as soon as 2017, dependent on funding.

    Salary/Benefits: $18-$20/hr plus health insurance, 10 vacation days and 10 sick days per year. Compensation is commensurate with past experience and qualifications.
