Provide administrative and fiscal support to programmatic and related functions of the Hawaii Conservation Alliance (HCA) Assists in the day-to-day planning, mgmt and coord of prog and project initiatives and events of the HCA. Assist with fiscal related matters, such as the initiation and review of travel requests, reimbursements, protocol spending and ensures compliance with applicable policies and procedures. Organizes and maintains a comprehensive filing system for fiscal documents, reports and ledgers for audit purposes Works with Director to ensure that expenditure of funds are consistent with budget plans. Writes and prepares draft reports and correspondence for internal/external review and distribution Assists with the planning and coordination of meetings and special events, including preparing/executing program content, logistics , scheduling, meeting minutes, event management etc. Assist with the development and maintenance of website content and information for CCRT Independently assesses various personnel and fiscal documents (payroll, timesheets, personnel transaction requests, AFP) and takes appropriate action in compliance with applicable policies Responsible for updating and maintaining the integrity of database that includes HCA contact details Assist with overall contract administration including monitoring, compliance, record management Other duties as assigned

Minimum qualifications: Possession of a baccalaureate degree in business administration, public administration, or related field and 1 year(s) of progressively responsible professional experience with responsibilities for research program/project support, fiscal/financial administration accounting management or personnel management ; or equivalent education/training or experience. Functional knowledge of principles, practices and techniques in business administration and management demonstrated by knowledge, understanding and ability to apply concepts, terminology. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with business administration and management. Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the areas of fiscal and administrative management. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals. Demonstrated ability to operate a personal computer and apply word processing software. Any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated. Demonstrated computer skills and working experience with Microsoft Office, database, and/or accounting software. Ability to work weekends, holidays, evenings or other hours as needed

Desirable qualifications: Familiarity with UH and RCUH administrative policies and procedures. Familiarity with Federal and State policies/procedures and rules/regulations as it pertains to the HCA operations. Experience with nonprofit accounting or QuickBooks accounting software or equivalent. Experience with MAC computer systems and Adobe Professional software. Knowledge and/or understanding of UH and RCUH systems (i.e. eFMIS, Peoplesoft, etc.).
