HCAF Administration & Program Support Specialist

The Hawaiʻi Conservation Alliance Foundation is recruiting for a full time Administration and Program Support Specialist. The position will be based in Honolulu, Oʻahu. The position will primarily provide adminsitrative support and coordination.

Founded in 2006, the Hawaii Conservation Alliance Foundation (Foundation) is a 501(c)(3) non-profit organization with the purpose and mission to support and advance the capacity building, native ecosystem and biocultural conservation work of the Hawaii Conservation Alliance (Alliance) through fundraising, advocacy, and strategic outreach and communications.

The Alliance is a cooperative collaboration of conservation leaders representing twenty-seven government, education, and non-profit organizations working together to provide unified leadership and advocacy for Hawaii’s most critical conservation issues. Collectively, the Alliance is responsible for managing the biodiversity of Hawaii’s lands and waters. In effort to support an inclusive and cohesive network of conservation practitioners across the Hawaiian Archipelago, the HCAF Administration and Program Support Specialist will support the administration of the Foundation and the coordination of joint Foundation and Alliance projects including the annual Hawaiʻi Conservation Conference.

Our ideal candidate is an organized and detail-oriented person who is comfortable managing simultaneous tasks under tight deadlines. We are seeking a self-motivated individual with an aptitude for learning new skills, and ability to work independently and in a team setting. Duties and Responsibilities:

  •  Provides professional, administrative, and fiscal support to programmatic and related administrative functions of the Foundation.
  •  Conducts routine bookkeeping, recording deposits, and reconciliation of financial accounts.
  •  Supports planning and execution of the annual Hawaiʻi Conservation Conference.
  •  Supports logistics of Foundation and some Alliance meetings and events, including scheduling, recording of minutes, reserving venues, ordering catering, securing supplies, preparing handouts and following up with attendees.
  •  Supports collaborative projects of the Foundation and Alliance through coordination of planning meetings, soliciting vendor bids, and event support.
  •  Responsible for office resource and facilities management such as electronic and paper files, office space, storage, and software subscriptions.
  •  Assists with routine editing, maintenance of websites, social media, regular correspondence, and various contact data bases.
  •  On rare occasion and with advance notice, duties may include working outside normally scheduled hours, usually occurs on-site at events.
  •  Other duties as assigned.

Minimum Qualifications:

  •  Possession of an associates degree in accounting, business administration, public administration, or a related field from an accredited institution and 2 years of progressively responsible professional experience with responsibilities including administrative or program support of non-profit administration; or equivalent education/training or experience
  •  Budget management (including quickbooks or comparable accounting management tool)
  •  Demonstrated attention to detail and organizational skills required for managing financial records
  •  Excellent computer skills and experience in word processing, Microsoft Office, database accounting software and other web-based platforms.
  •  Ability to independently solve problems that may commonly occur in the fiscal and administrative management of non-profit organizations.
  •  Excellent communication skills, both written and oral
  •  Ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.

Desirable Qualifications:

  •  Advanced computer proficiency in Microsoft 365 suite incluing Microsoft Teams and/or Quickbooks online
  •  Experience with tracking budgets, especially grant budgets.
  •  Experience with and scheduling and maintaining staff calendars, collaborative document editing and other web-based and management software solutions.

Location: The position is located in Honolulu, Oʻahu.

Reporting Relationship/Evaluation of Performance: Reports to the Foundation Executive Director, who will perform an annual performance evaluation and professional development plan.

Status/Classification: Regular, at-will. Continuation of employment is dependent upon operational needs, satisfactory performance, and availability of funds. The position is eligible for a hybrid telework schedule. Qualified candidates will need to be available for in-person events.

Salary/Benefits: Compensation is commensurate with past experience and qualifications. Annual salary range $38,000-45,000. Benefits include employer matched health insurance, 21 paid vacation and sick days per year and 13-14 annual paid holidays based on State of Hawaiʻi recognized holidays.
